ESTA Application Not Found or Expired: What the Message Means and How to Retrieve It

Seeing “No Application Found” when you check ESTA can be alarming, especially when a departure date is close. In many cases, the message does not mean that an approved authorisation has been cancelled. It can simply mean that the search details do not exactly match the information stored with the application.

Quick answer: Re-enter the details exactly as they appeared on the submitted application, including the passport number, issuing country, date of birth and application number where requested. If you do not know the application number, use the official retrieval option designed for that situation. “Application Expired” usually means the old authorisation can no longer be used and a new application is required for future Visa Waiver Program travel.

This guide explains the common reasons an ESTA record cannot be located, the safest retrieval sequence and when it is appropriate to submit a new application.

What does “No Application Found” mean?

The status system searches for a record using the information you enter. If one character, date or country selection differs from the submitted application, the system may not return a match. The message is therefore a search result, not necessarily an immigration decision.

Common causes include:

  • a passport number entered with a typing error;
  • confusing the letter O with zero, or the letter I with one;
  • using the passport's place of birth instead of the issuing country;
  • entering the expiry date or issue date in the wrong order;
  • checking with a renewed or replacement passport rather than the passport used for the application;
  • using an application number from another traveller;
  • trying to retrieve an individual application through the group search, or the reverse;
  • the submission not having been completed or paid; or
  • the authorisation having expired.

Do not repeatedly guess at the information. Take the passport in hand and copy the details directly from its biographical page.

How to retrieve an individual ESTA application

  1. Go to the official ESTA website at esta.cbp.dhs.gov.
  2. Select the option to check an existing ESTA status.
  3. Choose the individual application route.
  4. If you know the application number, enter it with the requested passport and identity details.
  5. If you do not know the number, use the retrieval option that searches using the additional personal and passport information requested by the official system.
  6. Check every field before submitting the search.

The spelling, dates and passport number must correspond to the original record. Accents, spaces and transliteration can cause confusion, so use the machine-readable passport details and follow the field instructions. If somebody else completed the application, ask for the confirmation page and verify which passport was used.

How to retrieve a group application

A group application has a group identification number in addition to the individual applications. The group contact person normally needs the group ID, family name, first name, date of birth and email address used when the group was created.

Each person still has an individual ESTA status. One group member can be approved while another remains pending or is not authorised. Never assume that the whole family or travel party shares a single authorisation.

If the group ID is missing, use the official retrieval function and the group contact details. Search the email account used for the submission, including spam and archived folders, but do not rely on email alone. The official online status is the authoritative result.

Details that must match exactly

Field What to check
Passport numberCopy it from the passport used when applying; check similar-looking letters and numbers.
Issuing countryChoose the authority/country that issued the passport, not residence or travel destination.
Date of birthConfirm day, month and year and use the required format.
NamesUse the passport identity-page spelling and the field guidance.
Application or group numberMake sure it belongs to the correct traveller or group and contains no extra spaces.
Passport datesDo not interchange the issue and expiry dates.

What does “Application Expired” mean?

ESTA is generally valid for up to two years or until the linked passport expires, whichever comes first. “Application Expired” means the authorisation is no longer valid for a new journey. It cannot be renewed or extended; you must submit a new application if you intend to travel under the Visa Waiver Program and remain eligible.

An ESTA may also cease to be usable when you receive a new passport or when key circumstances change. A new application is generally required if:

  • you receive a new passport, including an emergency or temporary replacement;
  • your name changes;
  • your citizenship or nationality changes;
  • your sex marker changes; or
  • the truthful answer to any ESTA eligibility question changes.

If an ESTA expires while you are already in the United States, expiry alone does not normally end an admission that was lawfully granted. The authorised stay is determined by your admission record. Read more in our article about what happens when an ESTA expires during a trip.

Should you submit a new application immediately?

Not before checking the obvious mismatch causes. If the original application is valid but you cannot retrieve it because a field was entered differently, a duplicate application may create additional confusion and cost. First confirm the passport, identity and application details and use the official retrieval options.

A new submission is appropriate when the earlier authorisation has expired, the passport has changed, required identity information has changed, an eligibility answer has changed or the original application was never completed. If the existing application contains a material error that cannot be edited, a new application may also be necessary. See our detailed guide to a mistake on an ESTA application.

Do not submit false information to force a new result. Answer every question accurately. If you are uncertain about a criminal, immigration, nationality or travel-history question, obtain qualified legal advice before applying.

What if the payment or submission is still processing?

A payment receipt or card authorisation is not the same as ESTA approval. After a successful submission, the status may be “Authorisation Pending” while the application is processed. Allow up to 72 hours for a decision and check the official system again.

If you do not see a completed submission, confirm whether the payment was actually finalised. A pending bank entry may disappear if the transaction did not complete. Avoid making multiple payments until you know whether an application exists. Our guide to ESTA processing time explains the possible status messages.

What each status means

Status or message Practical next step
Authorisation ApprovedVerify the passport details and validity; remember that approval does not guarantee admission.
Authorisation PendingWait and check again; a decision can take up to 72 hours.
Travel Not AuthorisedDo not travel under the Visa Waiver Program; review official visa information.
No Application FoundCheck every retrieval field and use the route for a missing application number.
Application ExpiredSubmit a new application if you plan eligible Visa Waiver Program travel.

Avoiding retrieval problems before travel

  • Save the confirmation page and application number securely.
  • Record which passport was used, especially if you hold more than one.
  • Check the status before booking day-of-departure transport to the airport or border.
  • Do not email an unredacted passport copy or application number to an unknown party.
  • Use the official ESTA domain when checking a government record.
  • Confirm every family member separately, including children and babies.

Frequently asked questions

Can an airline find my ESTA for me?

Airlines can receive an electronic travel-authorisation response during check-in, but they do not manage or correct your ESTA record. Retrieve and verify the status yourself before departure.

Can I retrieve ESTA without the application number?

Yes. The official system provides a retrieval path using additional identity and passport information. Enter it exactly as submitted.

Will a new passport find my old ESTA?

No. ESTA is linked to the passport used in the application. A new passport normally requires a new ESTA.

Does “No Application Found” mean my ESTA was denied?

No. It means the system did not locate a matching record using the search information. A refusal is shown as “Travel Not Authorised”.

How long should I wait before checking again?

If the application is pending, allow up to 72 hours. If no record is found, first correct the search details rather than simply waiting.
